Service / AI & Automation
AI agents and business automation that take the repetitive work off your team.
We build custom AI assistants and automated workflows that read enquiries, move data between your existing tools and handle the follow-up — with a human approval step wherever a customer is involved.
01 / What this is
Two different things, usually used together
Business automation is the deterministic part. A trigger fires — a form is submitted, an invoice arrives, a deal changes stage — and a defined sequence runs: create the record, notify the right person, update the sheet, schedule the reminder. It is reliable, cheap to run, and breaks only when the input is something it was never told about.
An AI agent handles exactly that case. It reads input written in ordinary language — a vague email, a scanned document, an enquiry spanning three questions — works out what it means, and chooses the next step. That flexibility costs more per run and needs guardrails, so we use it only where judgement is genuinely required.
Most of what we build is a workflow where automation does ninety percent of the steps and an agent handles the one messy step. That combination is cheaper and far more predictable than putting a model in charge of everything.
Good signs this service fits
- Someone retypes the same information into two systems
- Enquiries sit unanswered overnight or reach the wrong person
- Follow-up only happens when somebody remembers
- Reporting means rebuilding a spreadsheet every week
- Your tools are fine individually but do not talk to each other
02 / Problems it solves
What AI Agents & Business Automation usually fixes
Enquiries answered in minutes, not next morning
Inbound messages are read, classified and acknowledged automatically, with a drafted reply waiting for a human to approve.
Data entered once, not three times
Form, inbox, CRM and spreadsheet stay in sync, so nobody is paid to copy fields between tabs.
Nothing falls through on a busy week
Follow-ups fire on schedule with branching rules, and failures raise an alert instead of disappearing quietly.
03 / Deliverables
What you actually receive
Every engagement is scoped individually, but these are the artefacts that leave our hands and belong to you.
Platform choice depends on what you already run. We work with mainstream automation platforms and with custom code where a platform would be the wrong fit, and we tell you the monthly running cost of each option before you choose.
Included in a standard engagement
- A workflow map of the current process and the proposed one
- The built and tested automation, running in your own accounts
- Any AI agent, with instructions, data sources and approval steps documented
- Error handling and failure alerts, so silent breakage is visible
- A written handover document plus a recorded walkthrough
- An agreed testing period before we call it live
04 / How it works
From first call to finished work
The ASOLZ six-phase process, applied to this service. Each stage ends with something you can review.
- STEP 01
Process audit
We map the task as it runs today — every step, tool and exception — and measure roughly how much time it consumes.
- STEP 02
Automation plan
We mark which steps become rules, which need an agent, and which stay human. You see running costs before approving.
- STEP 03
Design the flow
Triggers, branches, data fields, approval points, and what happens when something fails or arrives malformed.
- STEP 04
Build and test
Built in your accounts and tested against real historical examples, including the awkward ones.
- STEP 05
Supervised launch
It runs alongside the manual process first, so you can compare outputs before trusting it unattended.
05 / Use cases

First-line answer drafting
An assistant drafts replies from your documentation; your team approves or edits before sending.
Document extraction
Invoices and receipts read, fields extracted, records created, exceptions flagged for review.
Onboarding sequences
New client or employee setup triggers accounts, tasks, documents and reminders in order.
06 / FAQ
Questions about AI Agents & Business Automation
Will this replace people on my team?
In most projects it removes tasks, not roles — the repetitive input and routing work. The proposal states exactly what the system handles and what still needs a person, because over-promising here creates failures later.
What does it cost to run every month?
Two separate costs: our build fee, and the ongoing platform and model usage, which goes to those providers rather than to us. We estimate the monthly running cost during planning so you can compare options.
What happens when the AI gets something wrong?
We design for it. Anything customer-facing goes through an approval step, confidence thresholds send uncertain cases to a human, and failures raise an alert rather than disappearing. You keep a log of what the system did and why.
Is our business data safe?
We work in your own accounts wherever possible, use the minimum data a step needs, and agree in writing which systems are in scope. Specific data-handling terms are set per project.
Can you work with the tools we already have?
Usually yes. Mainstream CRMs, inboxes, spreadsheets, form builders and messaging tools have reliable integration points. If something in your stack has no usable API we say so early rather than discovering it mid-build.
